Cancellation & Refund Policy

Effective date: October 6, 2025

This policy explains how cancellations, rescheduling, and refunds work for AI Squids workshops, training, consulting, and related services.

1) Scope & Contact

This policy applies to purchases made directly from AI Squids and to services delivered by AI Squids as part of the websquids ecosystem.

All dates and deadlines are based on Africa/Cairo time (UTC+2/+3).

2) Key Definitions

  • Public Workshop/Training: open-enrollment sessions with fixed dates published by AI Squids.
  • Private/Enterprise Program: sessions scheduled specifically for one organization.
  • Consulting/CaaS: ongoing advisory or fractional leadership engagements (monthly or SOW-based).

3) Public Workshops & Training

  • Cancellations: Full refund if cancelled ≥ 7 days before the event; 50% refund if cancelled 3–6 days before; no refund if cancelled < 72 hours before.
  • Rescheduling: One free reschedule if requested ≥ 72 hours before the event (subject to availability). Additional reschedules may incur a fee.
  • No-shows: Not eligible for refunds or rescheduling.
  • Seat transfers: You may transfer your seat to another participant up to 24 hours before the start.

4) Private / Enterprise Programs

Unless otherwise stated in a signed Statement of Work (SOW), private programs follow the public workshop timelines above. Non-recoverable costs (e.g., venue, travel, materials) may be deducted from any refund.

Dates can be rescheduled by mutual agreement. If your team is unable to attend on the scheduled date and no reschedule is requested in time, the session is treated as a no-show.

5) Consulting / CaaS Retainers

  • Billing cycle: month-to-month unless stated otherwise.
  • Cancellation: cancel any time before the next billing date to avoid renewal. The current billing period is non-refundable.
  • Unused hours: do not roll over unless explicitly agreed in the SOW.

6) Custom Development & Deliverables

Project deposits and completed deliverables are non-refundable. Milestones, acceptance, and any partial credits are governed by the applicable SOW.

7) Our Cancellations & Force Majeure

  • Rescheduling: If AI Squids must reschedule due to instructor illness, venue issues, or similar, we will offer a new date. If you cannot attend the new date, you may request a full refund.
  • Force majeure: Events beyond reasonable control (e.g., outage, strike, severe weather) may require rescheduling. We will work with you to find the earliest feasible date.

8) Refund Method & Timelines

  • Method: refunds are issued to the original payment method via PayTabs or, where applicable, processed by websquids acting as payment facilitator/merchant of record.
  • Timing: once approved, refunds typically appear within 5–10 business days. Bank processing times vary.
  • Currency & fees: refunds are made in the original transaction currency. Your bank or card issuer controls FX rates and may apply fees.

9) How to Request Cancellation

Email info@aisquids.com with the subject “Cancellation Request” and include: organization name, participant name(s), program type, scheduled date/time, and your order or invoice number.

10) Chargebacks & Disputes

If you believe a charge is in error, contact us first so we can investigate and resolve quickly. Disputes are handled per our Terms & Conditions.

11) Changes to This Policy

We may update this policy from time to time. The effective date above reflects the latest version.
